Spond is fully GDPR compliant. The use of WhatsApp to manage teams and communicate on behalf of the club will no longer be permitted.

Junior members have their details managed by Parents or Guardians.

You are welcome to come along to three sessions of Hockey to get the feel of the club before you will be asked to formally join but All prospective and current members of Oxton Hockey Club are required to complete the registration form to Register.

Registration & Spond Onboarding

• Club Management via Spond: All members (and parents/guardians of junior members) register and manage their club involvement through the Spond app.
• Payment Plans: Once your membership category is assigned, payment requests are issued via Spond. Members may pay in full or spread the cost across the season via instalments (instalment options exclude Under 10s membership).
• Goalkeepers: Goalkeepers providing their own recent, full playing kit pay the relevant social membership rate rather than full playing fees.

Payment Deadlines & Match Selection Eligibility

• Existing Members: Annual subscriptions are due by 30th September. Members who have not paid or set up an approved instalment arrangement by 31st October become ineligible for team selection and voting at general meetings.
• New / Mid-Season Joiners: New members have four weeks from their first training session or match to pay their fees or set up an instalment schedule to remain eligible for weekend fixtures.
• Match Fees: Match fees must be paid promptly after each fixture. Players with 4 or more unpaid match fees will be ineligible for selection until arrears are cleared in full.

Accessibility & Financial Support

• Discretionary Relief: Cost should never be a barrier to playing hockey. If you are experiencing financial hardship, confidential flexible payment terms or fee remissions can be arranged.
• Confidential Enquiries: Please reach out in confidence to the Membership Secretary, Club Chair, or Club Treasurer.

Fees for the 2026-2027 season are as follows:

• Full Adult Membership – £215
• Young Adult (18 – 25 years) Membership – £140.00
• Concessionary (students, unemployed and retired) – £140
• Junior – £120
• Under 10’s – £60 (+ £2 per week training fee. This can be paid in one lump sum instead of weekly, which is shown on the Spond membership bill as optional).
• Social – £25 (Social member, and also members not attending training, who may play up to five matches per season and/or summer league. Match fees are charged at normal rate. This membership may suitable for students living away at University but wanting to play when home, for example).

For the 2026-27 season – there will again be no extra cost for the England Hockey Membership, but you can still take advantage of the benefits this scheme has to offer. In addition to the reduced rates for new joiners, young adult members, and concessions shown above, a Family Membership discount is available for a Family of 3+ playing members.

Please contact the Membership Secretary for details. It is important that you make sure that all members within your family have the same payment contact in Spond for this to apply.

The discount of 25% off for a full paying adult in their first season at the club is still valid.

All membership and match fees are paid through the Spond App.

Spond provides the option pay in one lump sum or to spread the cost over the season.

All players will be billed via Spond when they participate in a match. Members are expected to pay their match fees in the week after their match, and failure to keep up with match fee payments may result in your being ineligible for selection, in accordance with the Membership Fees and Selection policies.

• Adult (including new joiners, young adults, and Social members) – £8
• Concessions – £6
• Junior – £4
• Friendly/non-league matches – £5

Umpire – match fee exemption per match umpired, these will be logged and can be applied to future matches played.

Away Fixture Driver Match Fee Exemption To encourage carpooling and assist with away travel logistics, a single match fee exemption applies per vehicle travelling to an official away fixture under the following conditions:

• Occupancy Threshold: The vehicle must transport a minimum of 3 players to the away match.
• Playing driver: If the driver is one of those players, the driver’s match fee is waived for that fixture.
• Non-playing driver: If, for example, a parent or guardian transports 3 or more players (e.g. their own child plus at least 2 other players), they may nominate one player in their vehicle (usually their own child) to receive the match fee waiver for that fixture.
• Recording & Administration: Eligible drivers must notify the relevant Team Captain on match day so the exemption can be correctly logged via Spond.

At Oxton Hockey Club, we are committed to providing an inclusive, fair, and transparent environment where all players can develop, enjoy their hockey, and reach their full potential.

Selection for weekend fixtures is guided by four key principles, applied in priority order:

• Eligibility & Subscriptions: In line with club rules, players must have their membership subscriptions and match fees up to date to be eligible for selection.
• Ability & Tactical Suitability: Balancing team performance, individual development, and appropriate positional play.
• Commitment & Availability: Regular attendance at training sessions and timely logging of availability on the club management app (Spond).
• Conduct & Sportsmanship: Upholding England Hockey’s Code of Ethics & Respect both on and off the pitch.

Squad Rotation & Player Development

During weeks where player availability exceeds squad size, captains will operate a fair, week-by-week rotation system. For our junior members transitioning into senior hockey (aged 13+), player welfare, safety, and long-term development will always take precedence over match results.

Questions or Feedback

If you or your parents/guardians have any questions regarding selection, please speak informally with your Team Captain or Coach first. Should an issue require further review, it may be escalated to the Youth Coordinator or Club Secretary.

We are keen to support any junior who wishes to use hockey for their Duke of Edinburgh Award, either as activity for those who already play, skill for those new to the sport, or if you wish to volunteer you can help out at Junior Sunday morning training.

1. Please ensure you ask/make the coach aware that you would like to use hockey for your D of E at the beginning of the season.
2. Print off the attached log sheet – which you must get signed at each session so we can keep track.
3. Or if you wish to volunteer helping with the Juniors on a Sunday morning, please email oxtonhcyouthrep@gmail.com. You will need to request access to “volunteers” on Spond so you can be added to the weekly Volunteer rota.
